Overview
of Hotel System
The HBICS Front Office System offers hoteliers a feature
rich environment in which to operate their property. The Hotel Staff will be
able to provide better guest service while achieving increased operational and
management control and efficiency of the front office operation.
Management would like to have some idea of the hotel status, check-outs,
rooms available, check-ins, etc. during the day; particularly when the property
is running full. There is no need to print reports several times a day, just
view the Current Hotel Status screen.

This system is designed to perform the operational and accounting
functions of controlling inventory by tracking on hand quantities, re-orders,
and issues. Programs are provided to perform physical counting and costing of
variations in the inventory.
Each inventory item may be classified into a location and an inventory
category. The location code is used to specify a different warehouse or type of
inventory. For instance, a hotel may have food, beverage, and supplies type
inventory. These inventories may even be located in different storerooms. The
location code is used to segment the inventory for accounting and control
purposes, as all inventory reports will produce totals for each location. The
category codes for a food inventory might be set to designate meats, fresh
vegetables, canned vegetables, breads, etc. The inventory reports will use the
category to sort the items and produce totals by category.
A Re-order Report is produced when required. This report compares the
minimum on-hand to stock against the current on-hand. Each item whose current
on-hand is below minimum to stock is listed, showing the quantity to re-order.
When a purchase order is initiated and the quantity ordered is entered, the item
will no longer appear on the report.

Inventory Control System is not a standalone application; it requires a link to
one of the HBICS Accounting Systems to function.
Central Reservations System Overview
The HBICS Central Reservations System offers hoteliers with more than
one property the capability of centralizing reservation processing with a fully
integrated management package backed by a full service and support program. This
system will provide the Central Reservations Office with the ability to give
better guest service while achieving increased operational and management
control and efficiency of the reservations operations.
All properties loaded in the Central Reservation System database can be
accessed by Search Criteria. That is, the reservationist can bring up a property
based on key words, as requested by the prospect: swimming pool, horseback
riding, etc., thus narrowing the search for a property that best fits a guests
needs.
Hotels fitting the search criteria that have
availability for the requested dates will be displayed on the screen. Hotels
without availability will also be displayed, however they will be "dimmed
out" to differentiate them from the available hotels. This will enable the
reservationist to offer a hotel, that may be a better fit, on alternative dates.
